Hazardous Waste Electronic Reporting

Data Management Section

In addition to reporting Annual hazardous waste generation using printed paper forms, Arkansas hazardous waste generators can report annual waste generation using computerized reporting software available FREE from this Department.

All hazardous waste generators MUST use electronic reporting.

What is Electronic Reporting Software?

The Annual Hazardous Waste Electronic Reporting Software offered by this Department, Easitrak, is a computer program using only your computer's internet browser (Microsoft Internet Explorer 5.0 or higher) through ARM's secure Web site. With intuitive, button-oriented menus and commands, the software allows you to fill in the Annual Report forms on the Web site. You can complete the forms on-screen,  edit the forms as many times as necessary to complete the report correctly, and print the forms directly to your computer printer. The forms and their contents are electronically saved. The report data contained within the forms is also saved on the computer within an electronic file that can be accessed from other computer programs, as well. Once finalized, the Report can be retrieved electronically by this Department quickly and easily. You must then submit a file to the State.

Why Use Electronic Reporting Software?

There are many advantages, both for the generator and this Department, to using the Reporting Software. Foremost, for the generator, it is possible to electronically complete the Report forms, making changes and revisions on the computer screen, rather than repeatedly copying and correcting paper forms.

In addition to printing neat, typed-written reports, the software checks your report entries to help you avoid reporting mistakes that might otherwise invalidate your report. In many cases the software will help you select the proper entries to correctly report your hazardous waste generation, and in most cases the software will bring errors to your attention or force you to enter only acceptable information into the report forms. It is like having a helpful electronic inspector looking over your shoulder as you complete your report!

The data that you report each year will be contained in computer files that you will be able to access. By using the reporting software year after year, you will have an computerized historical record of your hazardous waste generation. You can use other computer software (spreadsheet or database) to view the data and prepare historical reports for your own benefit.

Additionally, using Easitrak to report to us electronically allows us to more quickly analyze your Annual Report. The Electronic version of your report can be quickly analyzed via computer, and we can resolve any discrepancies promptly.

Software Links

The Web-based version is available on AMR’s secure Web site and no software is needed other than your Internet browser  (Microsoft Internet Explorer 5.0 or higher). Please be sure to print the software instructions available on ARM’s Web-site.

Hazardous Waste Annual Report Frequently Asked Questions/Problems

  1. Where do I get my password?
When you register your EPA ID Number for the current year’s software, you will be required to select a password and answer four (4) security questions.
  2. I can’t see any scroll bars on my forms.
Try setting your screen resolution to 1024 X 768 pixels at control panel, display and refresh your screen. This action should allow you to be able to see the scroll bars.
  3. I don’t see the pop-up boxes?
Make sure that you do not have pop-ups blocked for the site on your internet tool bar. You may have to log out of the software and log back in after changing the pop-up blocker setting to be able to see the pop-up boxes.
  4. I can’t tell if my report has been submitted to the State?
You may have to select the submit button a second time. You should always select the submit button the first time, select the error checker button for possible errors, if none, select the submit button again. When you return to the main screen you will get a message stating that your data has been submitted to the State and the file is locked.
  5. I can’t enter my city or zip code?
Use the finger pointer to enter your zip code and select the proper city and save. If the zip code does not produce a list of cities, then add the zip code and city and save the record.
  6. I can’t enter my waste codes?
Highlight the waste codes needed and scroll down to the bottom of the box and select add. This will place the needed waste codes in the box for you. To remove a waste code that you don’t need simply select the waste code and scroll down and select remove. This will remove the waste code from the list.

Possible reasons your report did not submit:
    • You have not completed all fields. Check the error checker to see where there might be a problem (examples: waste codes, signature block, latitude/longitude, waste description, etc.)
    • You entered a “0” shipment or on-site treatment on a GM form. Delete all “0” shipment or on-site treatment information. The system assumes “0” if you do not put an entry for the field

Other Electronic Reporting Options

If your facility already collects hazardous waste generation information electronically (via computer), you may submit your annual report information to this Department electronically - without any paper forms or additional reporting software!

This Department will work with individual facilities to develop electronic reporting formats that allow generators to submit annual report data directly from their computerized databases or spreadsheets.  (The only other form of electronic submittal allowed is EPA BRS flat files.) For details regarding the file structure contact the Hazardous Waste Division Data Manager.
